SF04 Primary User/Reports

The main purpose of Fuel Advisory Audit report is to verify fuel transactions for which an advisory was sent to identify whether the fuel advisory was followed or not. The primary factor used to identify a match is the Truck stop code. 

Please note that No advisory emails will be sent after midnight until system processes the prices files, because there are no prices for that day during this time range.

Following conditions will be met before an email is triggered: 

  • System will ping Samsara api after every 10 minutes. The interval may be greater than 10 minutes, because fuel level will not fall abruptly.
  • Once stats are loaded, then it will filter out trucks where fuel sensor reading is <=20 percent (from settings). [Updated to 50% as per suggestion by ASL]
  • If selected trucks have active trips and incomplete events (If system finds incomplete event, then it will be assumed that truck has not reached the event location yet.) then,
  • System will pick first incomplete event where location coordinates are available.
  • If the vehicle is traveling towards the event location, then it adds the vehicle to the timer to check the status again in 5 minutes (from setting).
  • If the vehicle is traveling in the same direction of the event location even after 5 minutes (from settings), then we will find the find cheapest truck stops in the direction vehicle is travelling within a radius of 20 kilometers (from settings) and within an angle of 50°.
  • if there are truck stops that falls within the criteria, we will send alerts with the coordinates to these truck stops
  • Along with the above checks, the following should also hold true, The prices for the current day should be available in the Prices table and the Forex rates for the current or previous day should be available. 
  •  Sometimes, if the truck is out of network, Samsara will not be able to send vehicle information, which is used to detect fuel sensor value. In this case, whenever the truck receives a network, Samsara can return old/inaccurate vehicle details. This can cause delayed emails.
  • If the driver switches the unit and the new unit has a fuel sensor less than 50% for the same trip, or if the sensor value was not updated/late updated/fueled quantity was not enough to fill more than 50% of the tank, in any of these cases, the system will keep sending advisory emails.

How this audit works?

  • The system will compare the Truck stop codes shared in the fuel advisory emails with the truck stop code used in the actual fuel transaction. If the truck stop code matches, that means the advisory was followed.
  • Transactions will be compared with last fuel advisory which was sent maximum 2 hours before the transaction or 20 minutes after the transaction.
  • If the advisory was sent in CAD and corresponding transaction was received in USD, then transaction will be converted to CAD to audit.
  • Transaction date/time and Advisory sent date/time are in CST.
  • Fuel advisory report will only compare Strongly Recommended and Better Choice truck stops for auditing.

There are some exceptions to this:

Scenario 1

Fuel sensor value was less than 50% and driver was already receiving fuel advisory emails. There is a yard near by the most recommended truck stop, where driver took a stop and turned off the vehicle for more than 2 hours. After few hours driver did fueling from the suggested Truck stop. This will be still considered as advisory NOT FOLLOWED.

Explanation: When driver turned off the vehicle he was still receiving emails. But once vehicle is off, system will stop sending emails. Resultantly at the time when driver did fueling the last advisory was sent more than 2 hours ago so it will not fulfill the criteria to audit this transaction.

Note : Transactions will be compared with last fuel advisory which was sent maximum 2 hours before the transaction or 20 minutes after the transaction.

Scenario 2

Fuel sensor value was less than 50% and driver was already receiving fuel advisory emails. Driver planned to follow the advisory and start following the route for most recommended trucks stop.  After travelling few miles ahead, system suggested any other truck stop as most recommended truck stop but driver did fueling from same truck stop which he started following initially. This will be still considered as advisory NOT FOLLOWED.

Explanation: System the find cheapest truck stops in the direction vehicle is travelling within a radius of 20 kilometers (from settings) and within an angle of 50°. So in this case as per last advisory has different suggested truck stop than actual truck stop. 

  Note : Fuel advisory report will compare only Strongly Recommended and Better Choice truck stops shared in last fuel advisory email before the fuel transaction.

        Please note that because this report is based on the scenarios and assumptions mentioned above, it is not entirely precise.
