This page is accessible only to admin users under the Customers menu.

Things your should know while creating a policy:

  1. Single Active Policy per Supplier: Each supplier may have only one active policy at a time, regardless of start and end dates.
  2. Creating a New Policy:
    • Supplier Selection: Use the currency dropdown to list suppliers. Only those suppliers are listed that meet these criteria:
      • They do not have any active policies.
      • They have at least one active EFS/Comdata account.
      • Its pricing files and transactions both have retail price.           
      • If it is not Ultramar.
    • Policy Dates:
      Start Date and End Date must be in the future and cannot be today's date.
    • Default Status: New policies are INACTIVE by default.
    • Activation: Once set to ACTIVE, a policy is effective from the specified start date.
  3. Policy Modifications:
    • Restrictions on Effective Policies: After a policy’s start date, it cannot be modified. However, it can be deactivated.
    • Example Scenario:
      If an active policy for a supplier (e.g., Esso) is nearing expiration and changes are required, deactivate the existing policy and create a new one to reflect these updates.
  4. Currency Consistency: A policy cannot contain suppliers with differing currencies.
  5. Adjustment Methods: Defines how margin will be adjusted. Please contact your project associate to know more about following options.
    • Capping 
    • Flat
    • Cut-off Trigger
