Things your should know while creating a policy:
- Single Active Policy per Supplier: Each supplier may have only one active policy at a time, regardless of start and end dates.
-
Creating a New Policy:
- Supplier Selection: Use the currency dropdown to list suppliers. Only those suppliers are listed that meet these criteria:
- They do not have any active policies.
- They have at least one active EFS/Comdata account.
- Its pricing files and transactions both have retail price.
- If it is not Ultramar.
- Policy Dates:
Start Date and End Date must be in the future and cannot be today's date.
- Default Status: New policies are INACTIVE by default.
- Activation: Once set to ACTIVE, a policy is effective from the specified start date.
-
Policy Modifications:
- Restrictions on Effective Policies: After a policy’s start date, it cannot be modified. However, it can be deactivated.
- Example Scenario:
If an active policy for a supplier (e.g., Esso) is nearing expiration and changes are required, deactivate the existing policy and create a new one to reflect these updates.
